Job Summary

GRADUATE MEDICAL EDUCATION MANAGEMENT: The Health Professions Education Specialist 2 is a professional in the administration and management of medical Residency and/or Fellowship programs. The HPES 2 is a professional who applies acquired job skills, and knowledge of policies and procedures to complete substantive assignments / projects / tasks of moderate scope and complexity; exercises judgment within defined guidelines and practices to determine appropriate action to effectively administer the 3 fellowship programs in the Department of Anesthesiology & Pain Medicine. The Fellowship Specialist is responsible for the oversight including the day-to-day operations providing direction to the department's educational units and coordination with affiliate institutional sites. The specialist coordinates the department's comprehensive ACGME accredited program.
The HPES 2 utilizes knowledge of medical education to analyze problems and issues of diverse scope and recommends solutions. HPES 2 is expected to formulate strategies to administer policies, processes, and resources in coordination with the program director. The HPES 2 applies acquired skills, process, and policy knowledge to support professional health education program learners, and coordinates program operations, which include teaching and learning activities, projects related to the program administration, program curriculum, learner scheduling, maintaining databases, tracking learner compliance, monitoring regulatory compliance, and supporting program accreditation. The incumbent coordinates implementation of professional health educational activities, which may include program competencies, curriculum, and exams. The HPES 2 directly supports the residency program director and education director in resident/fellow-related activities and is responsible for the administrative components of the program. The incumbent acts as a liaison between all stakeholders and responds through verbal and/or written communication to a wide variety of inquiries through interactions with faculty and administration, including the Office of the Dean, Hospital Finance/Administration, and multiple outside accreditation boards.
The HPES 2 partners with the GME Office to identify and operationalize updates in training, documentation and compliance requirements, new GME or ACGME initiatives, Medical Center or Department patient safety and quality initiatives, and administrative best practices. Overall, the HPES 2 specialist assures the quality of the Education Program administration by providing day-to-day management or all program activities and supports the core members.
MUST BE ABLE TO MAINTAIN CONFIDENTIALITY AND UTILIZE DISCRETION IN DECISION-MAKING AND COMMUNICATIONS.
This position requires excellent verbal/written communication skills to deal professionally with UC administrators. faculty, clinic personnel, staff, residents/fellows, applicants, and the general public. This position requires a keen understanding of goals and missions of the department as well as the ability to understand UCDH policy and procedures and can understand and interpret policies of other institutions and organizations to resolve issues.

  • AA/AS degree or equivalent experience
  • 1 year experience working in an education setting, or equivalent experience
  • 4-6 years of experience providing exceptional support to Executives and/or Board members.
  • Advanced working knowledge of Microsoft Office including Excel, Access, Word and PowerPoint, ERAS, Residency Management Software such as MedHub and Thalamus other computer programs to produce documents, forms, reports, and spreadsheets.
  • Sensitivity to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse background.
  • Ability to manage multiple assignments and to work with multiple executives.
  • Skills to assimilate complex data sets to develop data findings, conclusions and recommendations.
  • Ability to be professional to effectively work with individuals at all levels; ability to demonstrate a high degree of confidentiality and discretion; high degree of motivation and innovation.
  • Demonstrated ability to work independently and in a team environment.
  • Ability to be optimistic, positive and supportive in all interactions with others.
  • Ability to meet both short and long-term deadlines with a minimum of supervision and with initiative and imagination.
  • Ability to prepare questionnaires and other survey instruments.
  • Ability to gather, compile, and analyze research date, and to present data in tabular, graphic, and pictorial form.
  • Ability to prepare and work clear and comprehensive reports.
  • Excellent organizational skills with special attention to detail. Must have demonstrated ability to multi-task and thoughtfully prioritize projects.
  • Strong analytical and critical thinking skills, with the ability to independently problem-solve and make decisions but also know when to consult supervisory personnel when necessary.
  • Knowledge of or willingness to learn administrative requirements of sponsors.
  • Project management skills and the ability to manage numerous complex activities with overlapping deliverables and deadlines.

Preferred Qualifications

  • BA/BS Degree in Business Administration or a related field plus two years' experience providing administrative support is preferred; and/or an equivalent combination of education and experience (totaling 6 years).
  • Experience working with academic personnel policies and procedures.
  • Power point experience and editing is highly desired with ability to create board level presentations
  • Project management skills a plus.
  • Prior experience in a health care setting preferred.

Work Environment

UC Davis is a smoke and tobacco free campus effective January 1, 2014.
