POSITION SUMMARY:

The Hospitality Associate is responsible for supporting Conference Center operations and providing on-site delivery of conference center services. This position works closely with internal clients to plan, schedule, and coordinate meetings held within the designated Conference Center.

Responsibilities include coordinating catering services, preparing conference rooms, troubleshooting basic audiovisual technology, and providing general meeting administration. The Hospitality Associate also contributes to maintaining the cleanliness, functionality, and professional appearance of hospitality facilities, supporting organizational well-being and productivity.

This position requires exceptional organizational and communication skills, strong attention to detail, and effective team collaboration. The successful candidate must be able to manage multiple priorities in a fast-paced environment and adjust quickly to new tasks and assignments while supporting multiple individuals and organizational areas.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Complete routine operational tasks under direct supervision.

  • Support departmental change efforts and participate in continuous improvement initiatives.

  • Develop foundational knowledge of the hospitality industry, relevant data services, and industry practices.

  • Establish effective working relationships and learn from subject-matter experts.

  • Apply knowledge of event management software and standard operating procedures (SOPs) to:

    • Schedule Conference Center meeting requests.

    • Respond to routine inquiries.

    • Prepare and distribute daily reports by email.

    • Assist with catering services and ensure conference rooms are ready for meetings and events.

  • Support room setup and provide event materials, including:

    • Easels

    • Flip charts

    • Whiteboards

    • Table linens

    • Provide basic audiovisual equipment support as needed.

    • Maintain an accurate inventory of supplies and linens.

    • Coordinate dry-cleaning services for linens.

    • Conduct weekly inspections of meeting rooms and contact the appropriate department when maintenance or service is required.

  • Provide coverage and assistance to the Hospitality and Office Services teams as needed.

  • Perform other duties and projects as assigned.

EDUCATION:

  • High school diploma, General Education Diploma (GED), higher secondary education, or equivalent work experience. Bachelor's degree preferred.

EXPERIENCE:

  • Previous experience in hospitality or a related industry is preferred.

REQUIRED QUALIFICATIONS:
